AI for estate agents and letting agents

An agency writes all day: listings, vendor updates, landlord letters, portal replies at ten at night. AI drafts that quickly. It also invents details with complete confidence, which in property can turn into a misleading listing.

Start with material information

National Trading Standards' estate and letting agency team published the first part of its material information guidance in July 2022: price or rent, council tax band and tenure. Later parts cover utilities, non-standard features, flood risk, building safety, and rights and easements.

We haven't found guidance written specifically about AI-written listings or AI-edited photos. The general ban on misleading actions and omissions still applies, whoever or whatever wrote the description, and the CMA has been able to impose fines of up to 10% of global turnover itself, without a court, since April 2025.

So give the AI only checked facts, ask it to flag anything it added, and label virtually staged photos clearly. The same goes for a website assistant answering questions about a property overnight.

Six jobs worth trying

  • Descriptions from your notes'Write a 150-word portal description from these notes only, and list anything you weren't sure of.' Then check it against the floor plan.
  • Viewing feedbackNotes from five viewings become a vendor update: what people liked, the objections, any comments on price.
  • Landlord and tenant FAQsYour own answers on deposits, inspections and repairs, turned into a short FAQ.
  • Compliance remindersFrom a spreadsheet of gas safety, EICR and deposit dates, draft reminder letters and a weekly list of what's due.
  • Valuation lettersThe covering letter in your house style, around the figure and comparables you chose.
  • Social postsA just-listed post and a viewing-day reminder for each new instruction.

Words AI likes to add, and why they're a problem

AI reaches for the phrases of glossy listings. Each needs a checked fact behind it.

What AI might write The risk What to do
'South-facing garden' Easily wrong, and buyers rely on it Keep it only if you've checked
'Recently renovated' Implies work and standards you may not know Say what was done and when, if the seller can show it
'Ideal for a young family' Describes the buyer, not the home, and can put people off unfairly Describe the rooms and garden instead
'Chain free' or 'freehold' Material information that must be accurate Copy it from the instruction, not the draft
A virtually staged photo Shows furniture or finishes that aren't there Label it and keep an unstaged photo in the set

Where the software fits

Your CRM

Systems such as Reapit and Alto hold your instructions and applicants. Check whether yours has added AI writing features, and where it sends the text.

Email

On eligible Microsoft 365 plans, Copilot Chat in Outlook can draft replies and summarise your inbox without an extra licence. Google Workspace includes Gemini in Gmail on every Business plan.

A general assistant

Business tiers keep your text out of training by default: ChatGPT Business at £15 a user monthly, billed annually for two or more users, or Claude Team at £18 a seat monthly, billed yearly with VAT. Checked October 2026.

Assistants built on your documents

Tenants, landlords and personal data

Letting files hold references, income, ID and sometimes health details behind a request for adaptations. Keep all of that out of free AI tools. Anything about a tenant's health counts as special category data, and the ICO is clear that processing it needs an Article 9 condition on top of the usual lawful basis.

If software ever shapes a decision about who gets a tenancy, the automated decision rules apply. Under UK GDPR as amended by the Data (Use and Access) Act from 5 February 2026, significant automated decisions need safeguards, including human intervention and a way to contest them. Simplest: a person decides.

Email and text marketing to landlords and vendors still falls under PECR, where maximum fines rose in February 2026 to £17.5 million or 4% of global turnover. An AI policy gets the whole office working the same way.

What a Kick-Start would look at first

  • One listing, start to finishA prompt that writes from your notes only and flags gaps, tested on a property you're about to market.
  • Same-day feedbackA quick route from negotiators' notes to vendor updates.
  • After-hours enquiriesWhether templates are enough, or a website assistant is worth quoting for.
  • The planWritten next steps within three working days. Commission Managed AI set-up, or a build quoted at £1,000 or more, inside 60 days and the £395 is deducted.

Questions people ask

Can we use ChatGPT to write property descriptions?

Yes, as a drafting tool. Give it checked facts only, ask it to list anything it assumed, and read the result against the floor plan before it goes on a portal.

Do we have to say a photo is virtually staged?

We haven't found a rule written specifically for AI staging, but a photo showing a room as it isn't can mislead buyers, which consumer law already bans. Labelling it is the safe course.

Can an AI chatbot answer portal enquiries overnight?

It can answer routine questions from your own information and arrange a call back. Price, offers, condition and anyone's personal circumstances should go to a person.

Is tenant data safe in AI tools?

Free consumer accounts with training left on are the wrong place for it. A business tier, the minimum of detail, and no references or ID at all is the safer pattern.
