Gemini in Google Workspace, set up and taught on your real work
Since January 2025 Gemini has come with Google Workspace business plans rather than as a paid extra, so if your email runs on Workspace you already pay for it. How much your team gets depends on the plan. Below: each plan, what Gemini does in the apps, the settings to check, and how we train a team.

What each Workspace plan includes
Business Starter gets Gemini in Gmail but not in Docs, Sheets or Meet. For Gemini, Plus matches Standard, so choose between those two on other grounds.

What Gemini does in Gmail, Docs, Sheets and Meet
- Gmail, every planHelp me write turns a few words into a draft, Proofread tidies it, and AI Overviews condense a long thread or answer a question from your inbox search.
- Docs, Standard and PlusA first draft of a letter or procedure from your notes, or a paragraph rewritten for a customer rather than a colleague.
- Sheets, Standard and PlusAsk about your figures in plain English, or get help with a formula you can't remember.
- Meet, Standard and PlusTake notes for me writes notes into a Google Doc, gives late joiners a summary so far, and emails the organiser a recap. Eight languages, one per meeting.
Gems and Gemini Notebook
Gems are saved versions of Gemini with your own standing instructions, included on every Workspace business plan, Starter too. One might draft quotes in your house style or turn rough site notes into a visit report. Write the instructions once and nobody pastes them in again. My custom AI assistants service can build them for you. For now, Gems don't work with Gemini Live, the voice mode.
Gemini Notebook was called NotebookLM until July 2026, and existing notebooks were kept. Load it with a staff handbook, product manuals or tender documents, then ask questions about them, or have it make an Audio Overview to listen to in the car (up to 3 a day on Starter, 20 on Standard and Plus). Google says organisations' data isn't used to train it.
Admin settings to check first
We go through these with whoever manages your Google Admin console.
- Gemini switched on for the right peopleFeatures follow the plan and admin settings, so we confirm what each person will see.
- Drive sharingGemini works with the files each person can already open. Folders shared company-wide, or with anyone who has the link, are worth tidying first.
- Staff under 18Google requires users to be 18 or over for Workspace's Gemini features, which matters for apprentices and Saturday staff.
- Meeting notesWho can start Take notes for me, where the notes are saved, and how attendees are told.
- Work accounts onlyA personal Gmail with the free Gemini app is on different terms, so agree which account is used for work.

The set-up check
Included with the workshop: 60 to 90 minutes by video with your Workspace admin about a week before, covering plans, the settings above and the jobs your team wants help with. A big sharing clean-up is quoted separately. -
Training on real work
Each person uses their own Gmail, Docs and Sheets on tasks from their week, such as a reply to a tricky complaint. We build one or two Gems together. -

The prompts and Gems we made, saved where everyone can find them.

By the end, staff can:
- turn a long email chain into three bullet points and a draft reply;
- draft a document from rough notes and adjust the tone for its reader;
- ask a spreadsheet a question and test the answer against the figures;
- run a Meet call with notes taken, within the rules on our AI meeting notes page;
- spot a confident wrong answer, and keep to your AI policy on what stays out of AI tools.

Questions people ask
Is Gemini included in Google Workspace?
Yes, on every Business plan since January 2025. Starter gets it in Gmail; Standard and Plus add Docs, Sheets, Slides, Drive, Meet and Chat.
Does Business Starter include Take notes for me in Google Meet?
No, it needs Business Standard or above. On Starter, someone takes the notes by hand or you use a separate tool.
Is it worth moving from Starter to Standard for Gemini?
At October 2026 annual prices the gap is £5.90 per user per month, or £354 a year for five people. It makes sense if your team works in Docs, Sheets and Meet as much as in Gmail.
What happened to NotebookLM?
Google renamed it Gemini Notebook in July 2026. Existing notebooks and links still work.
Why can't our staff see Gemini in Gmail?
It comes with every plan, so check it's switched on in the Admin console, that they're signed in to Workspace rather than a personal Gmail, and that they're 18 or over.
