Clinics & care providers · Kent
AI for clinics and care providers, for the admin
Physios, dentists, opticians, therapists and care providers carry a heavy load of paperwork alongside the care itself. AI can take on a share of the writing. We help with that admin and with how staff use AI safely; we don't set up clinical tools, and nothing we build makes clinical decisions.

The line we don't cross
Diagnosis, treatment plans, medication and care decisions are out of scope. So are AI note-takers in clinical consultations, often called ambient scribes. NHS England's guidance on those (April 2025, updated July 2026) expects a clinical safety officer, clinical safety documentation, a DPIA, and staff reviewing and approving every output. That's a clinical system project, not an admin quick win.
Admin AI can help with
Each example works on information with no client details in it, or with them removed first.
- Rotas. 'Here's availability for 14 carers, the visit runs and who drives. Draft next week.' You get a starting grid to fix, using initials rather than names.
- Policies. A first draft of a lone-working policy in your format, checked against current regulations and your own practice.
- Training. Your moving-and-handling procedure turned into a ten-question quiz for new starters.
- Letters. Appointment changes and fee updates to clients or families, written plainly and kindly.
- Recruitment adverts. A clear advert from your job description, with the pay and hours you set.
- Summarising guidance. A long public document boiled down to what changes for a small provider, before you read the sections it points to.
Team meetings can be summarised too, not consultations; the meeting notes page covers telling people first.
Admin tasks and the conditions attached
| Task | OK with AI? | Conditions |
|---|---|---|
| Rota draft | Yes | Initials or staff IDs, not client names or addresses |
| Policy first draft | Yes | Checked by the registered manager against current regulations |
| Job advert | Yes | Pay, hours and requirements set by you |
| Screening applicants | Only with care | The ICO advises a DPIA before using AI in recruitment, and candidates should be told how to challenge an automated decision |
| Letter about a client's care | Business plan only | Minimum detail, checked by the person responsible for that client |
| Care plans and clinical notes | Out of scope | A clinical system with its own safety and governance |
Health data and the rules
Health information is special category data under UK GDPR. The ICO says you need an extra condition under Article 9 to process it, and a DPIA for any processing likely to be high risk. In practice: no client health details in free AI tools at all, and a DPIA before any AI tool touches health information on a business plan.
For the rest of the admin, a business plan is still the safer place to work: OpenAI and Anthropic don't train on ChatGPT Business or Claude Team content by default, and Copilot Chat used with a work account doesn't feed Microsoft's models.
We couldn't confirm the CQC's current position on AI, so we haven't summarised it here; check its website before changing how records are handled. A short AI policy that staff have actually read is the most useful single control.
What a Kick-Start would look at first
- What staff already doCarers and receptionists may already use free chatbots on their phones. We'd find out what's in use and agree what's allowed.
- One admin quick winOften the rota or the policy review cycle, set up so no client details go into the tool.
- Letters and trainingTemplates for routine letters, and a way to turn procedures into short training sheets.
- The planApproved tools, the right plans and whether you need a DPIA, in writing within three working days.

About the workshopQuestions people ask
Can care homes use ChatGPT?
For admin, yes, with care: a business plan that doesn't train on your data, no residents' health details, and a policy staff have read. Care decisions stay with trained people.
Can patient information go into AI tools?
Health data is special category data, so it needs an Article 9 condition and usually a DPIA. Keep it out of general AI tools unless that work is done and the tool is approved.
Can AI write our care policies?
It can write a first draft quickly. The registered manager still checks it against current regulations and how you actually work.
Do you set up AI scribes for consultations?
No. Those are clinical tools, covered by NHS England guidance that expects clinical safety work and a DPIA. We help with admin and staff use.
Can AI help with recruitment in care?
It can write adverts and interview questions. If AI screens applicants, the ICO advises a DPIA first and a way for candidates to challenge automated decisions.
