AI for safari operators, lodges and hotels in Kenya
Your enquiries arrive while you sleep: an agent in Munich, a family in Chicago, a couple in Milan. Whoever sends a clear, accurate quote first usually gets the conversation. We set up AI that drafts those replies and itineraries from your own rate sheets, in the traveller's language, for your team to check and send.
From £395 (about $520)
Based in the UK, working by video with businesses in Kenya. Nairobi is two or three hours ahead of the UK.
More visitors, the same reservations team
Kenya received about 2.7 million international visitors in 2025, up from 2.47 million in 2024, according to the Ministry of Tourism and Wildlife (Capital FM, April 2026). Park fees moved too: KWS raised entry fees from 1 October 2025, so any rate sheet written before then is out of date. More enquiries and moving prices are where careful AI drafting helps, and where careless AI does damage.
Where the hours go in a safari office
- The overnight inboxEnquiries from Europe and North America land between your evening and dawn. An assistant drafts a first reply with dates, room types and your usual questions, ready for the morning.
- Multi-day itinerary quotesTransfers, park and conservancy fees, camps, airstrip flights, season. AI assembles a draft from your price sheet; a person checks every number.
- Two currenciesOverseas guests usually want US dollars; residents and East African citizens pay many fees in shillings. The draft shows which rate applies to whom.
- Deposits and balancesReminders at the dates your terms set: bank transfer or card for overseas guests, M-Pesa for local bookings.
- Pre-trip packsPacking, light-aircraft luggage limits, entry paperwork to check, tipping and lodge rules, written once and personalised per booking.
- Reviews and languagesDraft replies to Google, Tripadvisor and SafariBookings reviews, and enquiry replies in German, French or Italian, for a manager to approve.
Why every fee in a draft needs checking
An AI working from last year's sheet would quote the old figures with complete confidence.
| Park (non-resident adult) | Before October 2025 | From 1 October 2025 |
|---|---|---|
| Amboseli and Lake Nakuru | US$60 | US$90 |
| Nairobi National Park | US$43 | US$80 |
| Tsavo East and Tsavo West | US$52 | US$80 |
| Meru and Aberdare | US$52 | US$70 |
| Hell's Gate and Mount Longonot | US$26 | US$50 |

One enquiry, worked through
-
02:10 Nairobi time
A German agent emails: two adults, eight nights in late August, Amboseli and the Mara, mid-range camps, price per person please. -
A first reply in German
The assistant confirms the dates, asks your three standard questions (flights or road, dietary needs, single supplement) and says a full quote follows today. -
A draft itinerary
From your 2026 rate sheet it builds day-by-day options with the current KWS fees and your Mara camp's high-season rate, marking where each figure came from. -
A person checks
Your reservations lead confirms availability with the camps, corrects anything off, adds the margin and approves. The AI doesn't send prices by itself. -
Deposit request
Once accepted, it drafts the invoice and deposit terms and schedules the balance reminder. -
Logged for next time
Enquiry, quote and outcome go into your CRM or a sheet, so you can see which markets and seasons convert.
Licences, guest data and the rules
Your licence. Tour operators and the other tourism enterprises listed in the Tourism Act 2011 need a Tourism Regulatory Authority licence. In July 2026 the TRA told the industry to check partners' licences before paying them, so put your licence details into every automated quote.
Guest data. Hospitality firms must register with the ODPC whatever their size (tour guides excepted) under the 2021 registration regulations. Keep passport scans and medical or dietary details out of general AI chat tools, and give the assistant only what the task needs.
Across borders. Under the ODPC's September 2026 guidance, data you send to an overseas agent or platform, or let someone access from abroad, is a transfer. That includes our access from the UK, which we document with you.
Tools you already use
Email and WhatsApp
Most enquiries arrive here. A drafting assistant in Gmail or Outlook is often the quickest win, before any chatbot.
Your rate sheets
Usually a spreadsheet per season. Cleaned up once, it becomes the only source the AI quotes from.
Reservations software
We check whether yours can export or receive data before building anything around it.
Your website
An assistant can answer common questions (seasons, child ages, inclusions) and pass a qualified enquiry on.
Website assistantsPrices
Invoiced in pounds sterling, payable by international bank transfer within 7 days; dollar figures are a guide. Tool subscriptions go to the providers. Your accountant can advise on VAT for services bought from abroad.
A WhatsApp enquiry agent is in build
The JHC Sector Agent (Enquiry edition) will answer on your own WhatsApp number, qualify a traveller, offer a call slot, send a deposit link and pass the chat to your team. It isn't available yet and has no price. See how we approach Kenyan clinics and SACCOs too.
Questions people ask
Can AI write safari itineraries?
It drafts them well from your rate sheet and camp notes. Left to guess, it gets fees, distances and availability wrong, so a person approves every quote.
Will an AI assistant reply to tourists in German or French?
Yes, and it's usually good for enquiries and logistics. Terms and conditions should be checked by someone who reads the language.
Can guests pay a deposit by M-Pesa?
Kenyan residents often can, through your paybill or till. Overseas guests usually pay by card or bank transfer, and an automation can send each the right instructions.
How much does a hotel booking chatbot cost in Kenya?
A website assistant is quoted after a free call, from £495 (about $660), plus tool costs paid to the provider. Many lodges test drafting first with the £395 Kick-Start.
