AI for guesthouses, lodges and tour operators in South Africa

AI for guesthouses in South Africa is mostly about the inbox. A couple in Munich asks about three nights on the Garden Route while you're asleep, and the guesthouse that answers clearly by breakfast often gets the booking. We set up AI that drafts those replies from your own rates and rooms, builds quotes in rand with a deposit link, and leaves the final word to you.

From £395 (about $520)

Based in the UK, working by video with businesses in South Africa. South Africa is one or two hours ahead of the UK.

AI for guesthouses: more overseas guests, the same front desk

South Africa had 10.48 million international arrivals in 2025, the highest on record and 17.6% up on 2024, according to South African Tourism. The UK became the largest overseas source market, German arrivals rose 14% and Dutch arrivals 6%.

For an owner-run B&B in the Winelands or a ten-room lodge near Kruger, that growth arrives as messages: Booking.com and Airbnb inbox threads, emails, WhatsApp voice notes, a LekkeSlaap booking from a family in Pretoria. Each wants dates, rooms, child rates and transfers confirmed.

Little of this needs your judgement. Most of it needs your facts, typed out again. That's the part AI can draft.

Booking enquiry automation for lodges and guesthouses

  • First replies from your fact sheetRoom types, rates by season, minimum stays, child policy, parking and check-in times, written up once and used for every draft.
  • Quotes in rand with a deposit linkThe draft quote lists nights, rate and total, then adds a deposit link from your Yoco or PayFast account. You approve before it goes.
  • Replies in German and DutchAI drafts a reply in the guest's language with the English beside it, so you can see exactly what you're sending.
  • Guest noticesShort, calm messages when a service is interrupted, for example a power or water outage, explaining what still works and what you're doing about it.
  • Review repliesA draft response to each Google or Booking.com review, in your voice, for you to edit and post yourself.
  • Itinerary drafts for tour operatorsA day-by-day plan from your own routes and suppliers. A person checks every distance, opening time and park fee before a client sees it.

One booking enquiry, from first message to handover

An invented example. A Garden Route guesthouse with six rooms; an email arrives at 23:40 South African time.

  1. The email

In German: two adults, one child aged 8, three nights in mid-March, a sea view if possible, and can you arrange a transfer from George airport.
  2. The draft

The assistant checks your rate sheet and the calendar export, finds a family room free, and drafts a reply in German with an English copy.
  3. The quote

Three nights at the March rate, the child rate applied, the total in rand, and a note that the airport transfer is quoted by your usual driver.
  4. 07:15, the owner reads it

You change one line (the sea-view room is the upstairs one), approve, and the reply goes with a deposit link.
  5. Deposit paid

You add the booking to your channel manager or calendar, or an automation does it, and the guest gets a confirmation.
  6. A week before arrival

Directions, check-in time and restaurant suggestions, drafted for your approval.

Grading, guest data and the rules

TGCSA grading is voluntary. The Tourism Grading Council of South Africa is the only body that authorises its stars, and many guests use them to compare. AI-written descriptions must match what the grading reflects: don't let a draft call a room "luxury" that isn't graded or furnished that way.

POPIA covers guest details. Names, passport numbers, dietary and medical notes all count as personal information, and health details are special personal information. The assistant only needs dates, room preferences and contact details to draft a reply, so that's all it gets. Sending past guests offers by WhatsApp or email falls under section 69, which needs consent or a narrow existing-customer exception, plus an opt-out in every message.

Platforms have their own rules. Booking.com and Airbnb each set rules on contacting guests outside their own messaging. Check the current terms before moving a guest to WhatsApp or email.

We build inside your own accounts and agree the section 72 basis for any UK access in writing first. A summary, not legal advice.

Questions people ask

Can AI handle WhatsApp bookings for a guesthouse in South Africa?

It can draft replies and quotes from your own rates for you to approve. Fully automatic replies at volume need the WhatsApp Business Platform through a provider, with Meta's fees for template messages.

Will AI reply to guests in German or Dutch?

Yes, as drafts. We show the English alongside so you know what you're sending, and fixed messages are worth checking with a fluent speaker once.

Does it connect to Booking.com or our channel manager?

Sometimes, depending on what your channel manager allows. We check that before quoting, and many set-ups start with email and a calendar export instead.

Can AI write our listing descriptions?

It can draft them from your facts and photos. Keep claims in line with your TGCSA grading, if you have one, and what the room actually offers.
