Why corporate AI training in Johannesburg, Cape Town or anywhere else starts with the basics

Most teams already use AI, often on personal accounts. What they lack is a shared sense of what is allowed and what works. In Xero's 2026 survey of 427 South African small businesses, 34% said they felt overwhelmed by AI information. That matches what a first session usually has to fix: too many tools, too much noise, no agreed way of working.

So the training stays narrow. We pick the two or three tasks that eat most of your team's week, show them done well in the tool you pay for, and agree the rules for client and staff data.

A sample workshop agenda

Two half-days by video, adjusted after the IT set-up check.

Session What happens Time
Day 1, part 1 What the tool on your licence can and can't do, and where its answers come from 45 minutes
Day 1, part 2 Each person brings a real email, report or spreadsheet and works it through with AI 75 minutes
Day 1, part 3 POPIA in practice: the data you may and may not paste in, with your own examples 45 minutes
Day 2, part 1 Checking AI output: spotting invented figures, wrong dates and confident errors 45 minutes
Day 2, part 2 Building reusable prompts and a shared project or assistant for the team 75 minutes
Day 2, part 3 Agreeing the team's rules and the one task each person will change this month 45 minutes

What staff must not paste in, under POPIA

The Information Regulator had not published AI-specific guidance when we checked in October 2026, so the Act applies as it stands. In practice that gives staff four rules:

  • No personal information in personal accounts. A free chatbot on someone's own login sits outside your control. If the AI provider processes data for you, section 21 expects a written contract with that operator, which a business plan gives you and a personal account doesn't.
  • No ID numbers, bank details or payslips in any prompt unless the task genuinely needs them and the tool is approved.
  • Extra care with special personal information: health, religion, biometrics, criminal records and union membership.
  • A person decides anything with consequences. Hiring, credit and disciplinary outcomes stay with people, in line with section 71.

A plain summary, not legal advice. Our AI policy service puts your version on one page.

How to tell the training worked

  • Fewer personal accountsAsk again a month later who still uses their own login for work. The number should drop.
  • One named task changed per personEach attendee leaves with one job to do differently. Their manager checks it four weeks later.
  • Saved prompts in useThe shared prompts or team assistant from day two are being opened, not forgotten.

AI workshop for Cape Town companies and the skills levy

Employers whose payroll is expected to exceed R500,000 a year pay the skills development levy of 1% to SARS, and the money is distributed through the SETAs. Firms often ask whether training like ours can count towards their workplace skills plan or grants.

We're a UK provider and not accredited with a SETA or the QCTO, and the rules on what counts differ by SETA. Check with your skills development facilitator before assuming any part of the fee can be claimed. For an accountancy practice, our page for accounting and tax practices covers the profession's own guidance, and the South Africa overview lists everything else we do.

Questions people ask

How much does AI training for staff cost in South Africa?

With us, a staff briefing for up to 30 people is £295 (about $390) and a two-session workshop for up to ten is £795 (about $1,050), both by video.

Can we claim the training back from our SETA?

We're not SETA or QCTO accredited, so ask your skills development facilitator before counting on it.

Which AI tool should our staff learn?

Usually the one you already pay for. Copilot Chat comes with Microsoft 365 business plans and Gemini with Google Workspace, so start there before buying anything.

Do employees need a business AI account under POPIA?

For anything involving personal information, yes in practice. A business plan gives you a contract with the provider and admin control; a personal account doesn't.

Can you train a team that works in Afrikaans?

We deliver in English. The tools themselves work in Afrikaans, and staff can practise in it during the hands-on parts.
