AI for accountants and tax practices in South Africa

AI for accountants in South Africa earns its keep in the unglamorous hours: chasing IRP5s and medical certificates before a filing deadline, rewriting a SARS verification letter so a client understands it, turning a meeting into notes. We set that up inside your own Microsoft or Google accounts, write the AI policy your staff work to, and leave every tax judgement with the registered practitioner.

From £295 (about $390)

Based in the UK, working by video with businesses in South Africa. South Africa is one or two hours ahead of the UK.

AI for bookkeepers and tax practitioners: the jobs

  • Document chasingA personalised list for each client of what's missing (IRP5, medical aid certificate, retirement annuity certificate, travel logbook), with a polite second reminder drafted a week later.
  • SARS letters in plain languagePaste a verification or audit letter, with the client's details removed, and get a clear explanation the client can follow. The practitioner checks it before it goes.
  • Engagement letters and proposalsDrafted from your own templates and fee schedule, so scope and exclusions match what the partner agreed.
  • Meeting notes and follow-upsCopilot in Teams or Gemini in Meet can summarise a client call; staff turn the summary into an action list and file it.
  • A practice-manual assistantNew staff ask how you handle a dormant company or a SARS dispute, and the assistant answers from your own procedures with the source page named.

What SAICA, IRBA and SARS expect

SAICA has published guidance on generative AI and members' professional ethical responsibilities under its Code of Professional Conduct. It encourages responsible adoption and applies the Code's existing principles, such as confidentiality and professional competence, to AI tools. A firm AI policy is the simplest way to show you've applied them.

IRBA issued Staff Audit Practice Alert 11 on 25 September 2025, on GenAI and emerging technologies in audits. It is non-authoritative and aimed at audits, but its message carries over: firms should own the tools they use, train staff on their limits, and keep professional judgement with people.

SAIPA had no dedicated AI guidance we could find in October 2026; ask SAIPA directly.

SARS registration. Under section 240 of the Tax Administration Act, anyone giving tax advice or completing returns for a fee must be registered with SARS and a recognised controlling body. AI doesn't change who is responsible: a registered practitioner reviews and submits. The filing windows in the table above come from SARS's notice on filing season 2026.

ChatGPT for accounting firms in South Africa, safely

Client files are full of personal information: ID numbers, income, bank details, medical expenses. Under POPIA, medical details are special personal information, and the firm is the responsible party for all of it.

  • Business accounts only. ChatGPT Business, Claude Team, Copilot or Gemini on a work plan, so there's a contract with the provider and data isn't used to train its models by default.
  • Strip identifiers first when using a general chatbot for a draft explanation. Name and tax number go back in at the end, by a person.
  • No AI on its own for numbers that matter. Calculations, deductions and positions taken with SARS are worked and signed off by a practitioner.
  • Remote access, documented. If we need to see live client data from the UK, POPIA section 72 applies, so we agree the basis with you in writing first. Usually we don't need to see client files at all.

Your package may already have AI built in. Xero calls its assistant JAX and Sage has Sage Copilot; which features reach your South African edition varies, so we check that on the set-up call. A summary, not legal or tax advice.

One client email, start to finish

An invented example. A Durban sole practitioner, the second week of September, with a provisional taxpayer who owns two rental flats.

  1. The trigger

The client's file in your tracker shows the rental schedule and the bond interest certificates are still missing.
  2. The draft

Your assistant writes a short email listing exactly those two items, with the January 2027 deadline and your upload link.
  3. The check

Your bookkeeper adds a note that last year's levy statements came late, and sends it.
  4. The reply

The client replies with a SARS letter attached, asking what it means. A stripped copy goes through the plain-language prompt.
  5. The practitioner

You read the explanation, correct one point about the deadline, and send it with a call booking link.
  6. The record

The email thread and the explanation are filed against the client. Nothing left your Microsoft 365 tenant.

Questions people ask

Can tax practitioners in South Africa use ChatGPT?

Yes, on a business plan and with client identifiers removed or controlled. The registered practitioner stays responsible for the advice and the return.

Does SAICA allow members to use AI?

SAICA's generative AI ethics guidance encourages responsible use under its Code of Professional Conduct. Read it alongside your firm's own policy.

Can AI submit returns to SARS for us?

No. AI can prepare checklists and drafts; a registered practitioner reviews and submits through eFiling.

Is it POPIA compliant to put client files into AI?

Only with care: a business plan with a contract, the least data the task needs, and medical details treated as special personal information. Write it into your AI policy.

What should an AI policy for a South African practice cover?

Approved tools, what client data may be entered, who checks output, how mistakes are reported, and how it fits SAICA or SAIPA rules.
