AI for estate agencies in South Africa
A buyer who enquires on Property24 at 9pm is often messaging other agencies too. A quick reply with the right facts gives you a better chance of the viewing. We set up AI that drafts those replies from your own listing data, books show-day slots and hands a qualified lead to the agent, all inside your accounts and within POPIA and the Property Practitioners Act.
From £395 (about $520)
Based in the UK, working by video with businesses in South Africa. South Africa is one or two hours ahead of the UK.
Where an agency's hours actually go
Ask a principal where the week goes and the list is familiar: portal leads arriving while agents are at show houses, the same questions about levies and rates, rental applicants who send half their documents, landlords wanting updates, FICA paperwork chased by WhatsApp.
Little of this is automated yet. Property Professional reported in May 2025 that South African agencies with a website chatbot are hard to find, citing patchy connectivity, uneven digital skills and tech seen as a cost. That gap is the opportunity: an agency that replies properly within minutes stands out against rivals who reply next morning.
Price talk, negotiation, mandates and anything about a seller's circumstances stay with people. AI takes the first reply, the scheduling and the paperwork lists. The rules below come from the Property Practitioners Act, POPIA sections 69 and 71, and the Financial Intelligence Centre.
The rules that shape an agency set-up
Each changes what the AI may say or decide. A summary, not legal advice.
| Rule | What it means for AI |
|---|---|
| Property Practitioners Act 22 of 2019 (in force 1 February 2022) and the Fidelity Fund Certificate | Replies go out in your agency's name; viewings and offers are handled by agents with a valid certificate. |
| Section 67 mandatory disclosure form | No mandate without the seller's signed form, and a copy to a serious buyer before an offer. AI can track whether it's on file, and must not describe condition beyond it. |
| POPIA section 69 | Sending new listings by WhatsApp or email needs consent, apart from a narrow existing-customer exception, plus your identity and an opt-out. |
| POPIA section 71 | Software must not decide alone who gets a tenancy. AI organises the application; a person decides. |
| FICA | Estate agents are accountable institutions. AI sends the document checklist; staff verify identity and keep records. |

One enquiry, from first message to handover
A made-up example to show the flow. A buyer enquires on a three-bedroom house in a Cape Town suburb at 21:10 on a Thursday.
-
21:10, the lead arrives
An automation picks up the portal email, matches the listing reference and pulls price, levies, rates and show-day times from your CRM. -
21:12, a reply from facts only
The buyer gets an answer in your agency's voice from the listing record, and is told an agent will follow up in the morning. -
21:15, three short questions
Bond pre-approved or cash? Selling first? When do they want to move? All optional, stored against the lead. -
21:18, a show-day slot
The buyer picks a Sunday time from the agent's calendar. Private viewings are left for the agent. -
07:30, the agent's summary
Who enquired, what they asked, their answers and the booked slot, in one short note. -
After the viewing
Offers, price, the disclosure form and anything about the seller go through the agent. The AI stops at the handover.
Rentals without automated tenant decisions
- A complete application packApplicants get a checklist (ID, payslips, bank statements) and a reminder for anything missing.
- Answers from your own rental termsDeposit, pets, lease length and move-in costs, from the listing and your standard terms.
- Landlord updatesA weekly note per landlord drafted from the CRM: enquiries, viewings, applications. The agent reads it first.
- Credit and choice of tenant stay humanBureau checks and the decision are made by your staff, which keeps you clear of section 71.
Tools you probably already have
The portals
Property24 and Private Property send leads by email or into your CRM. That feed is the usual starting point.
Your CRM
We work with the property CRM you already use, and check what it can export or connect to before quoting.
WhatsApp Business
The free app suits a small office. Automated replies at volume need the WhatsApp Business Platform through a provider, with Meta's per-message fees for templates.
Assistants on your own documentsWhat it costs
Paid by invoice and international bank transfer within 7 days. No UK VAT is added; ask your accountant about VAT on imported services.
The property edition of our WhatsApp agent is in build
The JHC Sector Agent will run on your agency's own WhatsApp number: answer, qualify, book viewings and log each conversation, then hand over to an agent. It has no price or launch date yet. The same flow can be built today as a quoted automation. For the wider picture, see AI consultancy in South Africa.
Questions people ask
How much does a WhatsApp chatbot for an estate agency cost in South Africa?
With us, a quoted automation starts from £395 (about $520), plus any WhatsApp Platform and provider fees paid to them directly.
Is it POPIA compliant to reply to Property24 leads on WhatsApp?
Replying to someone who asked about a listing is generally fine. Sending them other properties needs consent under section 69, so the assistant asks first.
Can AI screen tenants for us?
It can gather documents so the file is complete. A person should choose the tenant, because section 71 restricts decisions made solely by automated profiling.
Can AI write our listing descriptions?
Yes, from the facts you give it. The agent checks the draft against the disclosure form before it goes on a portal.
Can a UK company set this up for our agency?
Yes, by video inside your own accounts, with the POPIA section 72 transfer basis agreed in writing first.
