AI for private medical practices in South Africa

A practice's front desk spends much of the morning on the phone and WhatsApp: can I come in today, will my scheme pay, where's my account. We set up AI to carry that routine admin inside your own systems, within POPIA and the HPCSA's ethical rules. It doesn't give clinical advice or send results.

From £395 (about $520)

Based in the UK, working by video with businesses in South Africa. South Africa is one or two hours ahead of the UK.

Admin jobs AI can take off the front desk

  • Bookings and remindersPatients ask for a slot by WhatsApp or the website; the assistant offers times from the diary and sends a reminder the day before.
  • Medical aid paperwork checklistsBefore a scope or an admission, a message listing what the scheme usually needs. Your staff get the authorisation from Discovery, Bonitas, Momentum or whichever scheme.
  • Account queriesShortfalls, paying the patient portion, statements: drafted from your billing policy and checked by your accounts person.
  • "Your results are back" noticesAn invitation to call or book. The doctor gives the result, not the chat.
  • A policy assistant for staffAnswers new receptionists' questions from your practice manual, such as cancellation fees and walk-in rules.
  • Claim tidy-upFlags a claim missing an ICD-10 code or referring doctor's number before submission. A person still codes and submits.

Health information under POPIA

Health details are special personal information. Section 26 of POPIA prohibits processing them unless an exception applies; section 32 gives medical professionals one, for treatment and care under a duty of confidentiality. A new tool doesn't inherit that by default, so we build to one rule: the AI sees the least it needs, inside systems the practice controls.

Regulations on health information came into force on 6 March 2026. They apply to medical schemes, insurers and employers rather than directly to practices, but expect schemes to ask tighter questions about how you send them data.

Remote set-up from the UK can count as a transfer abroad under section 72. We configure tools without browsing records, and agree the basis in writing before any access to health information. The HPCSA publishes the ethical rules covered below.

HPCSA rules and what they mean for AI

Written before chatbots, but they apply to everything sent in the practice's name.

Rule What it means in practice
Advertising must not be unprofessional, untruthful, deceptive or misleading, or cause unwarranted anxiety A doctor checks AI-written posts and web text before publishing. No promised outcomes, no scare messages.
No canvassing or touting No automated messages to people who didn't ask to hear from you. Reminders go to existing patients about their own care.
Confidentiality Messages avoid clinical detail: "your appointment at 10:00", not what it's for.
The practitioner stays responsible Advice, diagnosis, scripts and results come from a registered practitioner.

Based on the HPCSA's generic ethical rules (Booklet 2). Checked October 2026; ask the HPCSA or your professional body if unsure.

One enquiry, from first message to handover

An invented example. A Monday, 07:40, a WhatsApp message to a two-doctor GP practice in Pretoria.

  1. The message

"Morning, can I see Dr Naidoo today? I'm on Bonitas. Bad cough since Friday."
  2. A booking reply, no medical comment

Today's open slots with either doctor, and the practice's own wording that severe symptoms need a call or emergency services.
  3. Admin details

Name and medical aid number for the file. The reason is stored only as "acute visit".
  4. Booked

The slot goes into the diary and a confirmation with the address follows.
  5. Front desk sees it

Reception gets a one-line summary and can change anything. Clinical questions are flagged for a doctor or nurse.
  6. Reminder and follow-up

A reminder at 13:00 for the 15:30 slot. Account or scheme queries afterwards go to the accounts desk.

Questions people ask

Is it legal to use AI with patient information in South Africa?

It can be, with care. Keep health information inside systems the practice controls, give the AI the minimum it needs, and leave clinical judgement with practitioners.

Can an AI receptionist answer medical aid questions?

It can send checklists and explain your billing policy. Whether a scheme will pay comes from the scheme, through your staff.

Can the assistant send test results?

No. It can say results are back and invite the person to call or book.

How much does an AI receptionist cost for a practice?

A Kick-Start is £395 (about $520). A website assistant is quoted from £495 (about $660), plus any tool fees paid to the provider.

Can a UK company access our practice data?

We set tools up without browsing records. If access to health information is ever needed, the section 72 basis is agreed in writing first.
